Why a free invoice generator that understands EU VAT matters

Most free invoice tools available online were built for a single market — usually the United States — and treat VAT as an afterthought. The result is invoices that look correct but mishandle the most common European edge cases: a German freelancer billing a French customer who provides a VAT number, a Spanish SaaS company selling to Polish consumers above the OSS threshold, a Dutch consultant invoicing a Swiss client, an Austrian retailer exporting goods to the United Kingdom. Each of these is a different VAT scenario with a different invoice mention and a different rate to apply. Getting it wrong can mean losing the right to deduct input VAT, owing back tax with penalties, or having an invoice rejected by the customer's accounts payable team.

WorkDaten's invoice generator was built specifically for the European business reality. The smart VAT engine reads your country, your customer's country, the customer type (business or consumer), the customer's VAT identification number and the nature of the supply (goods, services or digital services), then derives the correct VAT treatment from those inputs. The engine prints the proper legal mention in the customer's language, applies the right rate (or zero), and warns you when the scenario requires verification through the EU VIES system before sending.

The tool runs entirely in your browser. The invoice data never leaves your device, no account is required, no email is captured, no PDF is uploaded to any server. Your business profile (name, address, VAT number, IBAN, logo) can optionally be saved in your browser's local storage so the next invoice starts pre-filled. The generated PDF is produced by react-pdf and is fully searchable, copy-pasteable and ready to attach to an email or upload to your accounting software.

How it works in three steps

Your country, VAT number and IBAN drive the smart logic and are saved locally so you only enter them once. The customer block tells the engine whether to apply reverse charge, OSS or a domestic rate.

2. Add line items and the engine picks the rate

Each line accepts a description, quantity, unit price and optional discount. The default VAT rate is suggested by the engine but you can override it per line, which is useful for invoices that mix multiple rates (services + goods, normal + reduced).

3. Pick a template, choose a language, download the PDF

Is this invoice generator really free?
Yes. The full feature set — unlimited invoices, all four templates, multi-language output, smart VAT, VAT and IBAN validation — is free with no signup. The tool will remain free for individuals and small businesses; future paid features (team accounts, archive, branding kits) will be opt-in additions.
Are the invoices legally compliant?
The generator produces invoices that include all the mandatory content required by Article 226 of EU Directive 2006/112/EC: full identification of both parties, sequential invoice number, supply date, full description, applicable rate, total VAT and total. It does not, however, replace tax advice for complex scenarios such as construction reverse charge, special margin schemes or non-standard cross-border situations. Confirm with your accountant before sending in unusual cases.
Does the smart VAT engine cover my country?
All 27 EU member states plus the UK, Switzerland, Norway, Iceland and Serbia are modelled. Other countries are accepted as the customer location with the engine treating them as an export of goods or out-of-scope services depending on the supply type.
Where is my data stored?
Nowhere outside your browser. Invoices are generated client-side and never uploaded to a server. The optional 'save my details' button stores your business profile in your browser's local storage on the same device — clearing browser data deletes it.
Can I customise the look of the invoice?
Yes. Pick one of four templates (Modern, Classic, Bold, Compact), choose any accent colour and upload a PNG or JPG logo that fits your brand. The template choice and accent colour are saved with the invoice draft.
Does the customer receive the invoice in their language?
The PDF is rendered in the language you select in the 'Print language' dropdown. You can pick any of the ten primary EU languages and the labels (Invoice, Date, VAT, Total, etc.) are translated accordingly. The body text you enter in description fields is printed verbatim — translate it yourself if needed.
Why does the VAT amount disappear when I send to a foreign business customer?
Because of the EU reverse-charge mechanism: when you sell B2B to a VAT-registered customer in another EU country, the customer self-accounts for VAT in their country instead of paying it to you. The invoice shows zero VAT and a clear mention that reverse charge applies. The engine triggers this scenario automatically when the customer is in a different EU country, marked as a business and has a VAT number entered.
What if my annual sales to consumers in other EU countries grow above €10 000?
Once your cross-border B2C sales in the EU exceed €10 000 in a calendar year, you must register for the One-Stop-Shop scheme and start charging VAT at the customer's country rate. Tick the 'Registered for OSS' option in the issuer block to switch the engine into OSS mode and the destination-country rate is applied automatically.
Can I use this generator for an invoice in dollars or pounds?
Yes. Fourteen currencies are available including EUR, USD, GBP, CHF, SEK, NOK, DKK, PLN, CZK, HUF, RON, BGN, HRK and JPY. The currency selection only changes the symbol and number formatting — VAT logic still follows the country selection.
Is the PDF compatible with my accounting software?
Yes. The output is a standard PDF/A-compatible document with selectable text, which works with all major accounting platforms (DATEV, Sage, Xero, QuickBooks, Sevdesk, Pennylane, FreeAgent and others). The PDF is named after your invoice number for easy filing.
